Information about the ultrasound centre

Het Haagse Hof is located in The Hague and registered under registration number 000037404776 in the Chamber of Commerce’s Trade Register. Processing of personal data 

Your personal data is used to correctly register you in our system. We have our own secure servers from Het Haagse Hof and have entered into processor agreements with our IT partners for the management of these servers. We will not combine this data with other personal data we have at our disposal. This data will remain stored on our servers until you ask us to delete it. 

 

You have the right to know what information we record and why. Data is recorded if you give permission for this. Data is only recorded if this is necessary for the provision of care. It may sometimes be important for your care that a Het Haagse Hof employee discusses matters or exchanges information with your midwife or gynaecologist. The employee may only do this if you have given permission for this in advance. 

 

You can register with Het Haagse Hof for a medical examination; a vitality ultrasound, a dating scan, a combination test, a SUE (= 20 week ultrasound), a growth ultrasound, a positioning ultrasound or a placenta check. Het Haagse Hof can claim these examinations (except for the combination test) straight back from your health insurer. Het Haagse Hof will need a significant amount of personal data from you for this purpose: name and address details, but also your citizen service number and health insurance details. Het Haagse Hof will only use this information when contacting your own health insurer. The claims are prepared and sent off via VECOZO’s secure website. 

Communication 
We may save any email or other messages you send to us. We will sometimes ask you for additional information which may be relevant to the situation in question. This allows us to process your questions and answer your requests. The data is stored on Het Haagse Hof’s own secure servers, combined with our IT Partner’s certified servers. We won’t combine this data with other personal data we have at our disposal. This data will remain stored on our servers until you ask us to delete it. 

 

Duty of Confidentiality 

Het Haagse Hof’s employee will note down some details about you and about the discussions he or she has had with you and store these in a file. This employee is obliged to maintain strict confidentiality (the so-called ‘duty of confidentiality’). Colleagues from Het Haagse Hof, and then only those who require access as a result of their position, are the only ones who can access your file. 

Right to access 

You are, at all times, entitled to access your file. If you find that it contains incorrect information, then you have the right to ask for this to be changed. 

Anonymous 

The data we record is necessary to provide the best possible care. We also use the data to be accountable to our financiers about how the money has been spent.  The data is provided collectively and anonymously. This data therefore can’t be traced back to individuals. 

Retention period 

Het Haagse Hof is legally obliged to store your data for 15 years. We do this with the utmost care. Your hard copy data will be destroyed after this period.

Processors and other third parties 

Personal data can be processed by so-called processors and sub-processors on behalf of Het Haagse Hof. The processors and sub-processors act under the responsibility of Het Haagse Hof and may not carry out their own personal data processing. Your personal data will not be provided to other parties, with the exception of the parties described in this privacy statement. Your personal data will also be provided to other parties if we are obliged to do so on the basis of the law or a court decision. 

Peridos and privacy

What is Peridos?

Just like all the other screening centres in the Netherlands, Het Haagse Hof provides data for Peridos. Peridos is the national perinatological file (pregnancy, childbirth, maternity), in which prenatal screening data is recorded. 

This database contains data provided by healthcare providers and healthcare institutions which have a contract with one of the eight regional centres. These contracts include conducting counselling interviews and performing prenatal screening: Structural Ultrasound Examination (20 week ultrasound) and NT measurement (combination test). In addition, healthcare related data is recorded with which an insight can be gained into the quality of prenatal screening. Your data will be used if you decide to participate with the screening. This data is needed to be able to make a diagnosis and possibly offer a treatment and guarantee the quality of care.

 

Use of Peridos data

Healthcare providers involved in your screening can consult your data. The regional centre can also access the data in Peridos. The regional centre coordinates the screening programme and monitors the quality of implementation by all healthcare providers involved. The Ministry of Health, Welfare and Sport (VWS) has issued it with a licence for this purpose. The regional centre monitors the quality based on, for example, the data in Peridos. The healthcare providers themselves are also involved with quality assurance. They will sometimes need to compare data for this purpose. Your personal data can be deleted from Peridos after the screening, if you so wish. Inform the ultrasound centre. The system is optimally secured to guarantee your privacy. 

Scientific research 

No one other than your healthcare providers and the regional centre can access your personal data. Only anonymous data is used for statistical purposes, for example, to determine how many pregnant women use prenatal screening. This means the data can in no way be traced back to you as an individual. Not even by those who compile the statistics. This also applies to scientific research. Scientific research is needed to constantly improve prenatal screening. This is almost always done with anonymous data. As many precautionary measures as possible have been taken to ensure the data can’t be traced back to you or your child. Traceable data may be required for scientific research in exceptional cases. Do you not want your data to be used for such exceptional cases? Report this to the ultrasound centre.

Your privacy rights 

You have a number of rights, based on the General Data Protection Regulation (hereinafter: “GDPR”).  You have the right to request the ultrasound centre to access (Art. 15 of the GDPR) and rectify (Art. 16 GDPR) or delete your personal data (Art. 17 GDPR).   You also have the right to request Het Haagse Hof to limit the processing of personal data (Art. 18 GDPR).  You will also be entitled to data transferability (Art. 20 GDPR) and the right to object (Art. 21 GDPR) in certain circumstances.   You can find more information about when it is possible to exercise one or more of these rights on the Dutch Data Protection Authority’s website. You can contact us via one of the contact options mentioned above if you would like to exercise one or more of these rights. Apart from the above rights, you always have the right to submit a complaint to the Dutch Data Protection Authority.

This privacy statement is subject to changes. It’s therefore advisable to regularly consult this privacy statement. The current version of the privacy statement was last amended on 15 August 2018.
